Tables
Column definitions for the District, School, Instructor, and Student tables in the Once portal.
The Once portal exposes four primary tables: Districts, Schools, Instructors, and Students. Most columns share definitions across tables, but a handful are table-specific. Definitions below.
Students (column)
- Districts / Schools tables: The number of actively enrolled students with at least one log entry within the selected date range. A student is considered actively enrolled for the school year if they do not have an end date, the current date is within the student’s school start and end dates, or if the student’s end date matches the school’s end date.
- Instructors table: The number of actively enrolled students with at least one log entry within the selected date range who are assigned to the respective instructor. If a student has multiple instructors within the selected date range, they will be counted multiple times, once for each instructor.
Instructor
The student’s latest instructor. This field is not affected by the date picker. If a start and end date in the past is chosen, instructor will continue to be the student’s latest instructor ignoring dates. If a student has an instructor association that starts in the future, that instructor will be shown here.
Cycle
The student’s latest cycle name within the selected date range.
Days/Week
A calculated metric that represents the average number of days per week a session occurred during the selected date range. For instructors, this represents the average number of days per week an instructor conducts instructional sessions during the selected date range. If an instructor was assigned to a student but is no longer, their past session data within the selected date range will count in this metric. For students: total sessions that have occurred divided by total sessions, divided by 5.
Days/Week Lost to Instructor Absence
Total sessions where the instructor was absent divided by the total sessions, divided by 5. Only looks at student log data within the selected date range.
Days/Week Lost to Student Absence
Total sessions where the student was absent divided by the total sessions, divided by 5. Only looks at student log data within the selected date range.
Days/Week Lost to Other Responsibility
Total sessions where the session was flagged as lost to other responsibility divided by the total sessions, divided by 5. Only looks at student log data within the selected date range.
Session Execution Rate buckets
- <1 Day/Wk: Total students with a Session Execution Rate below 20%.
- 1–2 Days/Wk: Total students with a Session Execution Rate 20% or above, but below 40%.
- 2–3 Days/Wk: Total students with a Session Execution Rate 40% or above, but below 60%.
- 3–4 Days/Wk: Total students with a Session Execution Rate 60% or above, but below 80%.
- 4–5 Days/Wk: Total students with a Session Execution Rate 80% or above.
(In the Instructors table, these only count students currently assigned to the instructor.)
Coaching Mtgs
We look at all coaching meeting submissions within a date window, then look at each week where a meeting could have happened (had a submission) and count the weeks where a meeting did happen divided by total weeks.
ORF (Oral Reading Fluency)
- Districts: Average of currently assigned students’ ORF values.
- Schools: Average of currently assigned students’ ORF values.
- Instructors: Average of currently assigned students’ ORF values. An instructor may have an ORF for dates they were not assigned students if their current students have assessments within the selected date range.
- Students: Takes into account assessments within the selected date range, with a max of 3. ORF is calculated by taking the count of all words read correctly and dividing by all words assessed. All assessments are included whether they are marked as valid or not.
Session Duration
Average minutes of currently assigned students’ sessions. We take into account sessions within the selected date range, with a max of the 3 most recent sessions. Prior to February 12th, minutes were captured within reading evaluation assessments where it was hand-entered by the instructor. Post February 12th, we are capturing minutes from the recording sessions.
Average Objective Score
(Instructors table only.) An average of the instructor’s latest scores for each objective.
Objective Mastery
(Instructors table only.) Only includes instructor objectives submissions that occurred before or on the date picker’s end date. We use the latest score for each objective. Objective Mastery is on a 0–100% scale. 100% is if the instructor has an objective score of 2 for all possible objectives. 0% is if the instructor has an objective score of zero (counting unscored objectives as 0) for all objectives. 50% is if the instructor has an objective score of 1 for all objectives. Example: if there are 55 objectives and an instructor has a 1 on three of them and the rest are unscored, that yields 3% (3 out of 110 possible points), rounded to the nearest integer percent.
Current Cycle
The average of the entity’s students’ latest cycles within the selected date range.
Sessions Had
The number of sessions that have occurred within the date range selected. A session has occurred if an ending cycle value was entered into the instructional log for a respective date.
EOYP (End-of-Year Projection)
Represents the average projected cycle completion by the end of the academic year across all students in the result set, based on current performance trends and remaining sessions. Calculation: (cycles_per_session × number_of_sessions_remaining × session_execution_rate) + most_recent_cycle_name. If the resulting value is over 200, we use 200 as the value.
Farthest Cycle
(Instructors table only.) The highest cycle an instructor has covered for students within the selected date range.
Cycles/Session
The average number of instructional cycles completed per session during the selected date range. We sum the number of cycles completed and divide by the total sessions that have occurred.
Cycles/Session Spread
The difference between the highest and lowest average cycles/session for a given district, school, or instructor. Example: a school whose slowest student has an average of 0.3 cycles per session and fastest student has 1.7 would read 1.4 in this column.
Sessions Remaining
Total number of sessions between the selected end date and the end of the school year. If the date picker has dates selected across school years, this metric may not calculate correctly.
